Position: Bilingual Administrative Assistant
Reports To: Operations Manager
FLSA: Full-Time, Hourly, Non-Exempt
Agency Overview: Sitike Counseling Center has provided addiction, mental health, and violence prevention programs since the early 1980’s. Our mission is to provide community-based counseling and education in a safe and healing environment that embraces the cultural and emotional needs of every client and to help people find hope, resiliency, and life-affirming change.
Position Summary: The administrative assistant supports managers and employees through a variety of tasks related to organization, data entry, scheduling, and communication. This administrative assistant is responsible for confidential and time sensitive material.
Core Competencies and Responsibilities:
Answer and direct phone calls
Organize and schedule meetings and appointments
Produce and distribute correspondence memos, letters, faxes, forms, and emails
Assist in data collection, data input and preparation of reports
Provide general program information and referrals to prospective clients
Provide general support to visitors and clients
Receive and reconcile client payments
Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
Provide appointment reminders to clients
Conducts Urine Analysis Administration
Prepare materials for drug testing and recording results
Observe and collect samples as needed
Prepare and package samples for shipping to lab
Print and distribute results to treatment team
Other duties as assigned.
Minimum Qualifications:
· High school diploma of GED.
· Experience with and working knowledge of Excel, Word, and Data Base Management.
· Ability to work effectively as part of a team and communicate effectively with staff, clients, family members and the general community.
· Ability to maintain a CPR & First Aid Certification and an annual Tuberculosis test result.
· Ability to communicate effectively both verbally and in writing.
· Follows nondiscrimination laws in performance of duties.
· Good organizational skills; ability to prioritize workload and work independently.
· Must comply with drug-free workplace guidelines.
· Familiarity with recovery programs, 12-Step Programs, and other resources in San Mateo County & Bay Area.
Sensitivity to the cultural diversity of employees and clients.
